What Is ATS and Why Does It Matter?

An Applicant Tracking System (ATS) is software that companies use to automatically screen resumes before a recruiter ever sees them. Studies show that over 75% of resumes are rejected by ATS before reaching a human.

If your resume isn't ATS-optimized, it doesn't matter how qualified you are — you won't get a callback.

How ATS Works

When you apply for a job, your resume is scanned by ATS software (like Workday, Greenhouse, or Lever). The system:

  1. Parses your resume into structured data (name, skills, experience, education)
  2. Matches keywords from your resume against the job description
  3. Scores your resume and ranks it against other applicants
  4. Only the top-scoring resumes are shown to recruiters

7 Changes to Make Your Resume ATS-Friendly

1. Use a Clean, Simple Format

Avoid tables, columns, text boxes, headers/footers, and graphics. ATS parsers often fail to read content inside these elements. Stick to a single-column format with standard sections.

2. Use Standard Section Headings

ATS looks for keywords like "Experience", "Education", "Skills". Don't get creative — avoid headings like "My Journey" or "What I've Done". Use:

  • Work Experience
  • Education
  • Skills
  • Certifications

3. Match Keywords from the Job Description

Read the job posting carefully. If it says "React.js", use "React.js" — not just "React". If it says "project management", include that exact phrase. ATS does literal keyword matching.

4. Use Standard Fonts

Stick to fonts like Arial, Calibri, Times New Roman, or Georgia. Decorative fonts may not parse correctly.

5. Save as PDF or DOCX

Both formats are widely supported by ATS. Avoid .pages, .odt, or image-based PDFs (scanned documents). Make sure your PDF is text-based, not an image.

6. Include a Skills Section

A dedicated skills section makes keyword matching easier. List both hard skills (Python, SQL, Figma) and relevant soft skills. Keep it concise — 8 to 12 skills is ideal.

7. Quantify Your Achievements

ATS and recruiters both respond better to measurable results. Instead of:

"Managed a team"

Write:

"Led a team of 6 engineers, delivering 3 product releases on time"
